Terms of Service
The agreement between you and hippoOS.
These Terms of Service govern your use of hippoOS, the hosted personal-knowledge service operated by ByZyB.ai at hippoos.co, including its web application, browser clipper, email capture, connected-app (MCP) access and any related services. By creating an account or using the service you agree to these terms and acknowledge the Privacy notice. If you do not agree, do not use the service. Last updated 4 September 2026.
1. Who we are and how to reach us
hippoOS is provided by ByZyB.ai (“ByZyB.ai”, “we”, “us”). Questions about these terms, your account or your data can be sent to support@hippoos.co. Our Privacy notice explains what we store and why; our Trust page explains the product’s data guarantees; Support and Status cover help and availability.
2. What hippoOS does
hippoOS compiles material you deliberately submit — notes, documents, photos, links, recordings and email you forward — into a private, searchable, source-backed knowledge base (“Cortexes”) that you own and can export at any time. Retained originals are kept byte-for-byte; readings, summaries, pages and answers are derived from them, carry provenance back to the source, and can be corrected by you. AI models are used to read images, synthesize pages and answer questions; they are never used to change a retained original.
Optional features let you connect Google or Microsoft mail and calendar accounts (a metadata index, plus a one-line model-derived summary of what an unanswered email asks), connect your own AI tools through the MCP server, and receive scheduled briefings. Each of these is off until you turn it on.
3. Eligibility and your account
You must be at least 18 years old, or the age of majority where you live if that is higher, and able to enter a binding agreement. hippoOS is a personal service: one account is for one person. If you use it on behalf of an organization, you confirm you have authority to bind that organization to these terms.
You are responsible for everything that happens under your account: keep your sign-in credentials, connected-app keys and forwarding addresses confidential, use accurate account information, and tell us promptly at support@hippoos.co if you believe your account has been compromised. We may refuse, suspend or close accounts that are used in breach of these terms.
4. Your content
You own it. Everything you submit and everything derived from it — originals, corrections, pages, answers, exports — remains yours. hippoOS claims no ownership of your content and does not train AI models on it.
The permission you give us. So that the service can work, you grant ByZyB.ai a limited, non-exclusive, worldwide licence to host, store, convert, index, read with AI models, synthesize, display to you, sync across your devices, export and delete your content, solely to operate the service for you and according to your instructions and the product’s stated behavior. This licence ends when the content is deleted, subject to the retention and recovery windows described in section 8.
Your responsibilities. You confirm you have the right to submit each item and to have it processed as described, including material that concerns other people. Do not submit anything you are not entitled to store or that would violate another person’s privacy, confidentiality or intellectual-property rights. Content you forward or clip from third parties remains subject to that third party’s terms.
5. Connected accounts and third-party services
Google and Microsoft accounts. You may connect mail and calendar accounts so hippoOS can show correspondence and meetings alongside the people already recorded in your Cortex. From Google we request read-only Gmail access (gmail.readonly), read-only calendar events (calendar.events.readonly) and your email address; from Microsoft the equivalent delegated read scopes. hippoOS never stores message bodies, attachments or event descriptions (the text of an unanswered inbound message is read once to summarize its ask and then discarded), never sends mail or creates events on your behalf, and never uses this data for advertising. hippoOS’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. You can disconnect an account from Apps & connections at any time, or revoke access directly from your Google account or your Microsoft account; disconnecting deletes our copy of the token and every indexed row for that account.
Your own AI tools. If you connect an AI client through the MCP server, hippoOS returns your own context to that client; the client’s model, terms and costs are yours. Keys you create are secrets: you are responsible for the tools you give them to and can revoke each key from the Trust Center.
Service providers. We rely on third-party providers for authentication, storage, hosting, model routing and email delivery, as listed in the Privacy notice. They process your data only as needed to deliver the service. Third-party services you choose to link (for example a page you clip or a video you watch) are governed by their own terms, and we are not responsible for them.
6. AI output and reliance
Readings, classifications, summaries, pages, briefings and answers are produced by AI models and can be incomplete, out of date or wrong. Provenance links and your corrections reduce that risk but do not eliminate it. Always review the original source before relying on important legal, medical, financial, safety, contractual or identity information.
hippoOS is a memory aid, not a professional adviser. It is not a doctor, lawyer, accountant, financial adviser, emergency service or regulated records custodian, and nothing it produces is professional advice or a substitute for one.
7. Acceptable use
You agree not to: use the service for anything unlawful or to infringe anyone’s rights; submit malware or content designed to disrupt the service or its providers; attempt to access another person’s account, Cortex or data, or to defeat access controls, rate limits or the isolation between accounts; scrape, resell, sublicense or offer the service to third parties without our written agreement; reverse-engineer the service except where the law allows; use automated means to overload the service or its model providers; or use the service to build a competing product from its outputs.
We may investigate suspected breaches and remove content or suspend access where reasonably necessary to protect the service, its providers or other people. Where practical we will tell you why.
8. Export, deletion and retention
You can export any Cortex, or your whole account as a portable ZIP, at any time. Retained originals are kept until you Discard them; Discard is destructive, separately confirmed and cannot be undone. Other controls state their own recovery window in the product.
You can close your account from the account page. Deletion is recoverable for 30 days, during which the account keeps working and can be restored in one click; at the deadline everything — every Cortex, retained original, correction, derived index, connected-account token and index, and your sign-in — is physically purged. A separately confirmed “Delete now” skips the wait. Content-free operational receipts (that a deletion happened, and when) may be kept. Export anything important before a destructive action.
We may delete or suspend accounts that have been inactive for an extended period, or where we are required to by law, after giving reasonable notice where we can.
9. Plans, fees and payment
hippoOS is currently offered under experimental, clearly labelled pricing while the product is being validated; where a paid plan applies it is arranged directly with us rather than through automatic self-serve billing. We will not charge you for a plan you have not agreed to, and we will tell you the price, the billing period and what is included before any charge. Fees are exclusive of taxes unless stated. If a paid plan lapses, your data remains available for export and deletion under section 8; we may restrict features that depend on the plan.
Material changes to plans or prices will be communicated before they take effect where reasonably possible, and you may close your account if you do not accept them.
10. Our intellectual property and your feedback
The service — its software, design, brand, documentation and any content we provide — belongs to ByZyB.ai or its licensors and is protected by intellectual-property law. These terms give you a personal, non-transferable, revocable right to use the service; they do not transfer any ownership. Suggestions and feedback you choose to give us may be used to improve the service without obligation to you; feedback does not include your content.
11. Availability and changes to the service
hippoOS is an evolving product. The service may be unavailable from time to time for maintenance, provider outages, capacity limits or security work, and features may change, be added or be withdrawn. We aim to warn you before withdrawing a feature that affects your data, and we will always preserve your ability to export what you have submitted.
12. Disclaimers
To the fullest extent permitted by law, the service is provided “as is” and “as available”, without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy or uninterrupted availability. hippoOS is a memory and organization tool: it is not a backup service of last resort, and you remain responsible for keeping copies of anything you cannot afford to lose.
Nothing in these terms limits rights that consumer-protection or other law gives you and does not allow to be limited.
13. Limitation of liability
To the fullest extent permitted by law, ByZyB.ai and its owners, staff and providers will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill, arising from or related to the service or these terms, however caused. Our total liability for all claims relating to the service in any 12-month period will not exceed the greater of the amount you paid us for the service in that period or USD 100.
These limits do not apply to liability that cannot be limited by law, including for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
14. Indemnity
You will defend and indemnify ByZyB.ai against third-party claims, losses and reasonable costs arising from content you submit, your use of the service in breach of these terms or of the law, or your violation of another person’s rights, except to the extent caused by our own breach.
15. Termination
You may stop using the service and close your account at any time (section 8). We may suspend or terminate your access if you materially breach these terms, if required by law, or if continuing to provide the service to you creates a security or legal risk; where reasonable we will give notice and an opportunity to export your data. Sections 4 (licence, until deletion), 6, 10 and 12 to 17 survive termination.
16. Governing law and disputes
These terms are governed by the laws of Canada, including the laws of the province in which ByZyB.ai has its principal place of business, without regard to conflict-of-law rules. Disputes will be brought in the courts of Canada, except that you keep any right to bring proceedings in your own country that consumer law gives you and that cannot be waived. Before starting formal proceedings, please contact us at support@hippoos.co so we can try to resolve the matter informally.
17. Changes to these terms
We may update these terms as the product, the law or our providers change. The “last updated” date at the top shows the current version. For material changes we will give notice — in the product or by email — before they take effect where reasonably possible. Continuing to use the service after a change means you accept the updated terms; if you do not, close your account before the change applies.
18. General
These terms, together with the Privacy notice, are the entire agreement between you and ByZyB.ai about the service. If any provision is found unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver. You may not assign these terms without our consent; we may assign them to a successor that takes over the service, and will tell you if we do. Notices to you may be sent to the email address on your account; notices to us go to support@hippoos.co.
